The River Valley High School Alumni Association (the “Alumni”) values the protection of personal data of our members and participants in our events and activities. This Privacy Policy describes how we collect, use, and share personal information in the carrying out of Alumni activities.
This Privacy Policy applies to:
- our registered members;
- visitors to our websites, mobile apps, and other platforms or interfaces maintained by us, or any person who contacts us over the telephone, email or by other means;
- attendees at events organized by the Alumni;
- our partners, volunteers, retired teachers, and any other persons who interacts with the Alumni in the course of its activities; and
- personnel, officers, and connected persons of the above (“Representatives”) whose personal information is provided to us.
Unless otherwise defined, or the context requires otherwise, references to “you” our “your” are intended to refer to the above persons, and references to “we”, “us” or “our” refer to the Alumni
HOW WE OBTAIN YOUR PERSONAL DATA
We collect your personal data directly from you when you:
- apply for our membership;
- provide your personal data to us when you register for an event;
- make a donation, sign up as a volunteer, or engage in other interactions with us; or
- give us your personal data so that we can keep in touch with you.
We may also receive personal data about you from the following sources:
- from any person who registers you for Alumni events on your behalf;
- in relation to Representatives, from the relevant Customer or partner; and
- from publicly available sources.
WHAT PERSONAL DATA DO WE COLLECT ABOUT YOU?
We may collect the following personal data about you:
- Basic Personal Details, such as your full name, data of birth, and copies of your government ID documents;
- Contact Information, such as your address, phone number, email, or other information that permits us to contact you;
- Information related to Representatives, such as: the above mentioned Basic Personal Details and Contact Information
HOW WE USE YOUR PERSONAL DATA?
As a platform for alumni of the River Valley High School to network and connect, our purposes for processing personal data are as follows:
- To process membership applications;
- To update members of our events and activities;
- To facilitate organising of events and activities, especially those that involve external organisations;
- To inform our members of volunteering opportunities;
- To attend to your enquiries and feedback; and
- To invite retired teachers and partners to selected events.
WITH WHOM DO WE SHARE YOUR PERSONAL DATA?
We may share your personal data for the purposes indicated above under “How we use your personal data?” with the following persons:
- River Valley High School (the “School”);
- the School Advisory Committee or other partners of the School;
- partners and service providers to the Alumni;
- governmental authorities, insurers, or any other organisations to which we are under an obligation to make disclosure under applicable law, regulation, contract or good ethical practices;
- our professional advisors such as auditors, lawyers etc; and
- representatives of the above categories of persons.
ACCURACY
When we collect your personal data from you directly, it is your responsibility to ensure that the personal data that you disclose to us is accurate and complete. Where you are providing information to us on behalf of another person, it is your responsibility to ensure that you have obtained the full informed consent of the person to whom the personal data relates, and that the information is accurate.
To help us maintain the accuracy of the personal data, we encourage you to promptly inform us when there are changes to the personal data that you have provided to us. From time to time, we may request an update to your personal data.
PROTECTION OF PERSONAL DATA
We have implemented appropriate security measures (such as access control and minimum necessary principle) to ensure that your personal data is adequately protected and to prevent the unauthorized access, use and disclosure. We will keep your personal information in accordance with our internal policies for as long as it is necessary to serve the purposes set out herein, or for a longer period if necessary to comply with applicable law and regulation.
